CompetitionKeeper Privacy Policy

This Privacy Policy describes how [CompetitionKeeper Legal Entity] ("CompetitionKeeper," "we," "us," or "our") collects, uses, discloses, stores, and otherwise processes information in connection with the CompetitionKeeper website, applications, and related services (collectively, the "Service").

CompetitionKeeper is designed for parents, guardians, family members, and other adults who want to record and share information about participation in gymnastics competitions. The Service is intended for use by adults and is not intended for use by children.

1. Information We Collect

A. Account and Profile Information

When you create or use a CompetitionKeeper account, we may collect information such as:

• your name or display name;
• email address;
• account and authentication identifiers;
• profile image, if you choose to provide one;
• family name;
• family membership and role;
• account preferences;
• invitations you send or receive;
• subscription and account status; and
• records relating to account and family activity.

Authentication information, including passwords, is managed through our authentication service provider. CompetitionKeeper does not store your password in its application database.

B. Information About Gymnasts

Adult users may provide information concerning gymnasts they are authorized to manage through the Service. Depending on how the Service is used, this information may include:

• gymnast name;
• profile photograph;
• gym or team;
• competitive level;
• meet participation;
• meet names, dates, venues and locations;
• divisions or sessions;
• scores and placements;
• all-around results;
• notes; and
• photographs, videos, captions, labels, and related media information.

CompetitionKeeper does not currently request or maintain a gymnast's date of birth or age as part of a gymnast profile.

Users are responsible for ensuring that they have appropriate authority to provide information concerning a gymnast and to upload photographs, videos, and other content concerning that gymnast or other persons.

C. Photos, Videos, and Other Media

Authorized family Owners and Family Editors may upload photographs and videos to CompetitionKeeper. Fans cannot upload, edit, or delete family media.

We may maintain information associated with uploaded files, including the original filename, file type, file size, storage location, labels, and the account that uploaded the file.

CompetitionKeeper currently stores uploaded photographs and videos substantially as provided. We do not promise to remove metadata embedded in uploaded files. For example, a photograph may contain device, date, or location metadata included by the device or software that created the file. Users should remove metadata they do not wish to provide before uploading a file.

The Service may also permit users to save links to media hosted by third parties. If you follow such a link, the third-party service may receive information about your visit and will process information under its own policies.

D. Billing and Subscription Information

Paid subscriptions are processed through Stripe.

CompetitionKeeper does not itself store complete payment-card numbers, CVV codes, or card expiration dates. Stripe may collect and process payment methods, billing information, invoices, and transaction information.

We maintain information necessary to administer subscriptions, which may include Stripe customer and subscription identifiers, selected products or plans, billing interval, subscription status, billing-period information, and scheduled subscription changes.

E. Transactional Email

We use service providers to deliver transactional emails, including:

• account confirmation;
• password recovery;
• account-related notices; and
• family and Fan invitations.

Those providers process information necessary to deliver the communication, such as the recipient's email address and information associated with the particular authentication or invitation transaction.

CompetitionKeeper does not currently maintain a marketing-email list through the Service.

F. Technical and Usage Information

Our hosting, authentication, database, and other infrastructure providers may automatically process technical information associated with use of the Service, such as IP address, device or browser information, request information, timestamps, authentication/session information, and operational logs.

CompetitionKeeper also maintains certain activity records concerning actions taken within a family account for operational, security, and accountability purposes.

CompetitionKeeper does not currently integrate advertising pixels, session-replay tools, or third-party behavioral analytics platforms into the application.

2. Cookies and Local Storage

CompetitionKeeper uses cookies and browser storage necessary to operate the Service. These technologies may be used to:

• authenticate users and maintain sessions;
• remember the active family;
• support secure password recovery; and
• remember interface preferences, such as sidebar settings.

We do not currently use advertising cookies or third-party behavioral-tracking cookies in the application.

Because the technologies currently used are operational rather than optional advertising or behavioral tracking technologies, CompetitionKeeper does not presently provide a separate advertising-cookie consent control.

3. How We Use Information

We may use information collected through the Service to:

• create, authenticate, and maintain accounts;
• provide and operate CompetitionKeeper;
• store and display gymnast profiles, scores, competition history, and media;
• provide reporting and progress-tracking features;
• enable users to share authorized information with Family Editors and Fans;
• administer invitations and permissions;
• process and administer subscriptions;
• provide customer support;
• send transactional communications;
• maintain the reliability and security of the Service;
• investigate errors, misuse, fraud, or security incidents;
• enforce our Terms of Service;
• comply with legal obligations; and
• improve, maintain, and develop the Service.

We do not sell gymnast photographs, videos, scores, or profile information or license that content to advertisers for targeted advertising.

4. How Information Is Shared Within CompetitionKeeper

CompetitionKeeper is designed so that gymnast information is not publicly searchable through the Service.

Family Owners and Family Editors may manage family competition information. A family may invite other users as Fans and determine which gymnasts a Fan is permitted to follow.

Fan access is permission-based. A Fan may be granted access to a gymnast's scores without being granted access to that gymnast's media. Media access requires a separate authorization.

Users are responsible for deciding whom they invite and what permissions they grant.

Invitation links should be treated as private. A person possessing a valid invitation link may be able to view limited information necessary to identify and respond to the invitation before authentication, such as the inviter, family, relevant gymnast names, or permissions associated with the invitation.

Media is stored privately and accessed through authorization controls. CompetitionKeeper may issue time-limited signed links to authorized users to permit access to media. A person who obtains a valid signed link may be able to use that link until it expires.

5. Service Providers

We use third-party service providers to operate CompetitionKeeper. They currently include:

Supabase — authentication, database services, private file storage, and related infrastructure.

Vercel — application hosting and request/runtime infrastructure.

Stripe — payment processing, subscriptions, Checkout, billing management, and related payment services.

Resend — transactional email delivery through our authentication/email infrastructure.

These providers may process information as necessary to perform services for CompetitionKeeper and are subject to their own contractual and legal obligations.

We may also disclose information when reasonably necessary to comply with law, legal process, or lawful governmental requests; protect the rights, safety, or property of CompetitionKeeper, our users, or others; investigate fraud or security incidents; or enforce our agreements.

We may transfer information in connection with a merger, financing, acquisition, sale, reorganization, or similar business transaction, subject to applicable law.

6. Children's Privacy

CompetitionKeeper is designed for adults, including parents and guardians, who wish to maintain information concerning gymnastics participation. CompetitionKeeper accounts are restricted to persons who are at least 18 years old.

The Service is not directed to children, and children are not permitted to create or operate CompetitionKeeper accounts.

Adult users may provide information about children, including names, gymnastics results, photographs, and videos. By providing such information, the user represents that the user has the authority and any permissions reasonably necessary to provide the information and use it through the Service.

CompetitionKeeper does not knowingly solicit personal information directly from children under 13 through child-operated accounts.

If we learn that a person under 18 has created an account in violation of these requirements, we may suspend or terminate the account and take appropriate steps regarding information associated with it.

7. Data Retention

We retain information for as long as reasonably necessary to provide the Service, maintain the account or family, fulfill the purposes described in this Policy, meet legal and accounting obligations, resolve disputes, protect the Service, and enforce our agreements.

CompetitionKeeper includes several deletion and recovery mechanisms. Depending on the type of information:

• deleted gymnasts, meets, or media may first enter Trash and remain recoverable for a period;
• deletion of a family currently includes a 30-day recovery period before permanent family deletion;
• certain media affected by changes in plan or trial entitlement may be retained temporarily to permit recovery or upgrade;
• incomplete uploads may be removed after a shorter cleanup period.

When a family reaches permanent deletion, CompetitionKeeper removes the applicable household data and stored household media through its deletion process.

Deleting a family does not necessarily delete the user's underlying CompetitionKeeper authentication identity, because a single identity may exist separately from a particular family.

Information deleted from the active Service may persist temporarily in infrastructure backups, security records, transaction records, or operational logs until those records expire or are deleted under applicable retention processes.

We may retain information when reasonably necessary to comply with law, maintain financial or transaction records, prevent fraud or abuse, resolve disputes, or establish or defend legal claims.

8. Access, Export, Correction, and Deletion

CompetitionKeeper provides tools that allow users, subject to their roles and permissions, to review or update certain information.

Family Owners may request or generate an account/family data archive through the Service. The current complete-data archive includes structured family and competition information and metadata concerning stored media. It does not include copies of the underlying photo and video files.

Users may also use available account controls to delete eligible information or initiate family deletion.

We may need to verify your identity and authority before fulfilling a request.

9. Security

CompetitionKeeper uses administrative, technical, and organizational measures intended to protect information appropriate to the nature of the Service. These measures include authentication, access controls, database row-level authorization, private media storage, and authorization controls for media access.

No Internet service, transmission method, or storage system can be guaranteed to be completely secure. Accordingly, we cannot guarantee absolute security.

Users are responsible for protecting their account credentials and for appropriately managing the people they invite to their family.

10. Changes to This Privacy Policy

We may update this Privacy Policy as CompetitionKeeper changes.

If we make material changes, we may provide notice through the Service, by email, or by another reasonable method. The Effective Date above indicates when this Policy was last updated.

Where required by law, we will obtain consent to material changes before applying them.
